How player documents are handled
Verification workflow
Required uploadsA birth certificate and photo-bearing player or school ID are required. A player photo is optional.
Private storageFiles are stored outside the public web directory and do not have permanent public URLs.
Human verificationOCR may assist DOB comparison, but the registrar inspects the original and makes the final eligibility decision.
Retained evidenceDocuments and signatures remain privately stored after review for authorized tournament operations.
Digital consent
Registration captures the guardian's printed name, required event-media consent, drawn signature, timestamp and exact consent version.
Who sees what
Coach: complete registration information for players on teams they manage.
Registrar/Admin: registration details and private documents needed for verification.
Public: no player DOB, address, contacts, medical details, signatures, photos or documents.
Organizer review. Tournament organizers should keep the published privacy and retention wording aligned with their legal responsibilities and operating policy.
